General

Will I receive a service tailored to my business?

Yes. Before we mutually sign a contract we will ensure that we understand all your requirements and the correct service is selected based upon the needs of your organisation.  At your initial audit our qualified consultant will identify the information relevant to your industry and circumstance - your bespoke documentation will be based upon this.

As part of our service, we will keep you informed of topical industry developments and changes in legislation that directly affect you.

Why should we outsource Health & Safety, Employment Law or Environmental management?

Outsourcing to a company with extensive experience will ensure your organisation has properly addressed the legal, moral and financial responsibilities that are related to health and safety, employment law and environmental legislation.

What happens if we are visited by the HSE?

If you are contacted by the HSE, you should call us immediately so we can discuss and agree what steps to take.

However, if you are a retained client who has implemented our advice on health and safety practices, it is unlikely the HSE will be dissatisfied with your organisation.

What availability can you offer my staff?

We encourage all our clients to involve their staff in our services and as such we make our resource available to the whole organisation. If you operate satellite sites, warehouses or have remote staff, they will have the same access to our resource as your head office staff. This ensures that you gain the maximum benefit from the service you subscribe to.

In addition to our online resource, telephone support and documentation (additionally provided to you on CD-Rom for deployment on an intranet), we also offer a unique ‘Stress Service’ to all our clients.  Available to all your staff and their immediate families, this service provides confidential advice and guidance on personal issues, much like the Citizens Advice Bureau.

What are your Service Standards?

We are an ISO 9001 accredited organisation. This ensures that we set clear, measurable objectives for service delivery to our clients. We commit to conducting key elements of our service within defined time frames and we encourage our clients to work with us to achieve this.

How will you manage my business?

Your account will be handled and closely monitored by a dedicated Account Executive. From the moment you engage with us we will be at hand to support all your needs. Our Account Executives will ensure that you always get the very best from your package of services and will encourage you and your team to utilise all of the resource and information available to you.

How are queries handled?

In the first instance, queries should be directed to your Account Executive who will ensure your requests are met or your questions answered. Alternatively you can contact your sales consultant should you require further clarification or assistance with the service you have subscribed to.

In the unlikely event that your query is of a negative nature and requires escalation, a unique ‘Case’ will be raised on your behalf. This procedure is objectively conducted and is at the core of our ISO 9001 accreditation and our commitment to continued improvement.

Health & Safety

Will you do our risk assessments for us?

Would you like us to?

Risk assessments are the employer’s responsibility and need to be undertaken by a competent person. Retained annual clients may use our name as their competent person to assist and they have access to our library of risk assessments on this web site. These are downloadable and amendable. We will check your work if you would like us to.

As part of our service we can train your staff to assess risk.

Special risk assessments can be carried out by our consultants during their normal visits to your premises or by special arrangement.

It's your choice.

Will we need to prepare anything for the audit?

When we come to conduct your audit it would be useful if you can have to hand any existing documentation, and also have available the staff who are responsible for implementing health and safety in your business, to discuss their concerns.

Will using THSP reduce our insurance costs?

Your insurance costs ought to be reduced.  Make your insurance broker aware of your new safety management arrangements and they ought to be able to negotiate a discount for you.

It is certainly true that by proper management, your claims history should improve, the consequence being a reduction in the number and severity of claims which will show an ongoing benefit to your insurance rates.

What happens if there’s an accident involving one of our employees or on our premises?

Let us know as soon as possible – certain types of accidents must be notified to the enforcing authority, and we can help you with this. Depending on the nature and seriousness of the accident it would also be wise to inform your legal advisers.

You are required by law to ensure that all serious incidents are properly investigated and it may be that a visit from one of our consultants needs to be arranged very quickly.

What does an audit of our premises involve?

One of our safety consultants, along with a representative of your organisation, will undertake the following:

  • An inspection of the physical premises and an assessment of risk both for the premises and the work being carried out in it
  • A fire risk assessment if necessary
  • A check of how prepared you are in case of emergency, including evacuation procedures and signage
  • A check on mandatory and recommended health and safety training requirements
  • A discussion on the management structure and responsibilities for health and safety
  • A close-out meeting with senior management of your organisation
  • A full written report
How often will you visit our premises?

As often as you need us to – normally two to three visits a year are sufficient for safety management, but occasionally more visits are needed.  We can be contracted to visit your site as often as you wish.

How do we make sure we are up to date with the law?

All our clients have easy access to regular legal updates and other relevant news online, providing easy-to-digest information on often complex and rapid changes to legislation. If you choose to become a retained client, we automatically send you updates for inclusion in your policies whenever new legislation is introduced.

Do you provide legal protection and support?

Yes, as an additional service we can supply a wide ranging legal fees insurance policy which is well worth asking about.

Can we pass over to THSP our entire Health & Safety responsibilities?

No. We will work with you and your team to ensure you are taking all the appropriate steps to minimise risks to your organisation and comply with all the appropriate legislation. Ultimately however, the responsibility in law for ensuring a safe place to work for your employees and complying with health and safety legislation is that of the employer. We can, however, attend your offices every week, or several times a month, to keep your documentation and records up to date. This on-site presence also helps to improve the safety culture within an organisation.

Employment Law

Will I need to prepare anything for the audit?

We will need to see copies of employment contracts, procedures, policies and a copy of your staff handbook where they exist.

What happens if we need to discipline or dismiss someone or even make redundancies?

If you are a retained client of THSP, you will already have in place the relevant policies and procedures, as well as training for line managers.  If your organisation has followed our advice and kept these up to date, disciplinary, dismissal and redundancy procedures should be relatively straightforward.

To ensure you avoid tribunal claims and act within the bounds of employment law, it is important that you follow the procedures you have notified to your staff to the letter.

You must ask our advice (and follow that advice) regarding dismissal and redundancy to maintain the indemnity insurance cover.

What happens if an employee takes us to tribunal?

If your organisation has followed the advice of our employment law specialists, it is extremely unlikely that you will face employment tribunals brought by staff. However, our qualified team of employment law consultants is able to provide all necessary support to minimise the impact of a tribunal claim on your business.

What does an audit of our operation involve?

One of our employment law team, along with a representative of your organisation, will undertake the following:

  • An inspection of existing contracts, procedures and staff handbooks
  • A discussion on the management structure and responsibilities for line management
  • A close-out meeting with senior management of your organisation
  • A full written report

Environmental Responsibilities

Will THSP manage every aspect of our Environmental responsibilities?

No. We will work with you and your team to ensure you are taking all the appropriate steps to manage your environmental responsibilities within the law, minimising risks to your organisation. Ultimately however, in law, the responsibility of ensuring your organisation complies with legislation surrounding environmental issues is that of the employer.

Will I need to prepare anything for the audit?

If you have any existing environmental impact and procedures paperwork, please bring them to the initial meeting, otherwise no.

What happens if there’s an accident that’s environmentally damaging?

Let us know as soon as possible – certain types of accidents must be notified to the Environment Agency, and we can help you with this.
